The gap it fills
A dealership management system, or DMS, is the book of record. It holds the deal, the accounting and the inventory. It is very good at being the record, and it is not built around how a department works its day.
So every store builds a second layer by hand: a funding sheet, a recon list, a list of what is owed to customers, a whiteboard, a group chat. Each one is a copy of something that already exists somewhere else, and each one goes stale.
What operations software does
- Gives each department its own screen on the same deal, so sales, finance, accounting, service and delivery see their part and nothing needs retyping.
- Turns the side spreadsheets into logs that fill themselves from the deal, such as contracts in transit, recon, we-owes and titles.
- Tells the right person when something needs them, and only that person.
- Keeps an audit trail of who changed what, so a number can be traced.
What it is not
It does not replace the DMS and it should not try to. Where a DMS offers a read connection to a store, operations software can pull in details that were already keyed there. It should never write back into the book of record.
It is also not a CRM or a marketing tool. The line to hold is whether the software helps a deal move through the building once it has been written.
How to tell if you need it
- You keep a spreadsheet that someone copies from the deal log every day.
- Two people give different answers to whether a car is ready or a contract is funded.
- A month-end number is built by hand and checked by eye.
- A department finds out about a problem by being asked, not by being told.
