A special-orders list that proves the customer was called.
When a part arrives for a customer who left, the store has a window to get them back. The list should show who called, when, and how long the part has been waiting.
How it runs on a spreadsheet
Edits leave no trail.
A shared sheet lets anyone change a line, so there is no record of who changed what.
Done means deleted.
Completed lines are removed, along with the proof that the customer was contacted.
New lines sort into the middle.
Sorted by the date a part arrived, a line entered late lands mid-list where nobody reads.
The wait is not visible.
Nothing warns when a part has been sitting long enough that the customer needs a call.
What it becomes
A dated contact trail
Every attempt to reach the customer is recorded with the date, which is the proof if a return window is disputed.
Aging that warns
Lines that have waited too long are flagged before the window closes.
Newest at the bottom
Lines sort by when they were entered, so nothing slides into the middle.
Closed with a reason, never deleted
Completed, returned and canceled are statuses, and a reason is required where it matters.
Every change recorded
Who changed what is on record.
Completion tells the parts manager
The person who reviews finished orders is told.
