A we-owe list that gets worked to completion.
A second key, a bedliner, tires: the things owed to a customer at delivery are easy to promise and easy to lose. The list should be born on the deal and worked by the team that owes them.
How it runs on a spreadsheet
Items are retyped from the deal.
Customer, VIN and salesperson are copied onto a separate workbook that nobody on the deal can see.
Rows are deleted when done.
Finished items vanish, so there is no record that the promise was kept.
Courtesy calls are mixed in.
First-service calls sit beside real we-owes, so a list of promises is padded with calls.
Outside vendors are a phone tree.
Who is doing the work and when it is booked lives in a contact list and memory.
What it becomes
Born on the deal
An item is logged on the deal, so nobody retypes it onto a sheet.
A worked list
Items are worked to done or closed with a reason, not deleted.
A contact trail
Each attempt to reach the customer is dated, so a dispute has proof.
Deferred, not forgotten
An item that has to wait comes back when its month arrives.
Courtesy calls kept separate
First-service calls are their own list, worked by the right people.
Vendors on file
Outside vendors are one list instead of a phone tree.

DealerCockpit is in beta and we are looking for dealerships to try it as new features arrive. Not everything works as well as we plan yet.
